Stage 2

Request a viewing
(Please make sure you have sufficient finances to cover the rent and outgoings for the property you’re seeking).

A member of our team may ask you for the below information. This is to ensure the property is suitable for your needs. Providing comprehensive support reinforces our tenant information services.

Name and address of all prospective occiupiers (contract-holders (tenants))
Proof of Identity
Details of any children, including their ages
Whether you have any pets
Immigration status
Whether you smoke or not
Contact details including your present address and daytime telephone number and
Details of present circumstances (e.g. in rented, living with parents etc.)
Your employment status

Please note the property will remain available to other prospective contract-holders (tenants) until your application has been accepted and confirmed (stage 4 below). We ensure comprehensive support for you throughout the process.

Stage 3

Pre-Tenancy Application Form

If you would like to be considered for the property viewed, please complete the pre-tenancy application form (see here).

As part of this process you will be asked to give consent to your data being collected and held by Tudor for the purpose of considering your application. More details about General Data Protection Regulation (GDPR) here

Stage 4

Should you then wish to proceed with the application you will be asked to pay a holding deposit and you will be invited to proceed with your application/credit check.

We will be charging a holding deposit of £100 per application at the start of the referencing period.

If the applicant takes the tenancy this will be refunded or used as part of the first months rent. If the applicant chooses not to take the tenancy for any reason the deposit will be retained by Tudor EA. If the applicants fail the referencing they will be entitled to the deposit provided you have provided correct information for the referencing. See below.

What happens to the deposit if you fail the referencing?

Failing referencing isn’t enough to withhold a potential tenant’s Holding Deposit

If a prospective contract-holder (tenant) provides completely factually and accurate information but still fails referencing, agents will have to still return the Holding Deposit. To withhold the Holding Deposit from a prospective contract-holder (tenant) providing false or misleading information, the agent must be able to prove that the prospective contract-holder (tenant) provided factually inaccurate information rather than the prospective contract-holder (tenant) made a mistake. For example, a prospective contract-holder (tenant) stating that their salary was higher than it actually is would be providing false or misleading information.

The Holding Deposit can be retained by the agent if it is found that the prospective contract-holder (tenant) does not comply with the 'Right to Rent' regulations - Immigration Act 2014. Although this does not apply in Wales Tudor Chartered Surveyors policy is to adhere to the Right to Rent Scheme.

Can I pay the rent in advance or the Security Deposit before a tenancy is signed?

Where a prospective contract-holder (tenant) is not physically available to sign an agreement before the term of the tenancy begins, landlords and agents can require rent in advance, or the Security Deposit. This cannot be classed as an excess Holding Deposit providing the contract-holder (tenant) is made aware in writing that any such payment was an advance payment of rent or the Security Deposit.

During this time no further applications will be considered for the property

Stage 5

After we have received your holding deposit payment you will receive an email from the credit check company and you will need to follow their link to complete the application process on-line.

The credit check will be undertaken by Rent4Sure

Stage 6

Acceptance of your reference - an Occupancy Contract will be preopared for your consideration. Please take time to review and understand the Agreement.

NOTE – once passed referencing, this does not mean you can move in. The next stage will be for our property management department to make sure the property is contract holder ready, e.g checking safety regulations, preparing or updating the inventory, processing the paperwork etc. This usually would be 7 – 10 days after you’ve passed referencing.

Then we all should be ready to sign the contracts, execute the tenancy and “exchange contract”. It’s at this stage the monies due are paid, and a completion (Move In) date is agreed.

So, please be aware, from application to move in, it could be around 2 – 3 weeks. (Sometimes less, sometimes more depending on circumstances).
